User Guide

VoiceTap helps busy professionals save time and stay organized.

Record voice memos using custom keyword tags, and let our powerful AI tools transcribe, clean and sort them into categories (like Work, Fitness, Mindset & Tasks).

Follow these steps to get started!

  • Download the VoiceTap App
  • Create your Custom Keyword Tags
    • What are the most important metrics in your life right now?
    • Ex. Work, Side Projects, Family, Fitness, Mindset & Tasks
  • Record Voice Memos
    • Open the Voice Memos app on your iPhone.
    • Record voice memos using your keyword tags
    • Ex: say, “Work, I had this great idea for a new business!”.
    • Or… “Body, my new meal prep has me down 10 pounds this month!”
  • Import Memos into VoiceTap
    • Open the Voice Memos App.
    • Select the voice memos you want to import into VoiceTap
      • Free Users get 5 batches, up to 10 voice memos per batch
      • Pro Users get unlimited batches, up to 20 voice memos per batch.
    • Tap “Import Now”… and watch the magic begin!

Transcribe and Organize (AI Magic)

  • VoiceTap’s AI turns all your voice memos into easy-to-read text
  • Pro users get power AI tools
    • Removes filler words (e.g., “um” and “ah”).
    • Sorted into custom categories (e.g., Work, Family, Mindset, Tasks)
    • Example: “Work, I had a great new idea!” goes to the Work tab
    • Free users do not get custom keywords and organization

Export to Apple Notes

  • Tap “Share” in the upper right corner of the VoiceTap App
  • Save to Apple Notes in one file, sorted by category.
  • Open Apple Notes to review, share, or plan your next steps.

Tips for Success

  • Record Often: Capture ideas daily, after meetings, during a walk or evening commute.
  • Use Keyword Tags (Pro): Record voice memos with keywords (e.g., “Tasks, call client”) for auto-sorting.
  • Export Daily (or) Weekly: Review your transcripts often. Delegate to your team, take action on what matters most.
